Please do not submit such information unless it is genuinely necessary. If you voluntarily tell us about a health, disability or mobility issue because it directly affects safe access to a property or site, we will use it only where reasonably necessary and where a lawful condition applies.

6. Our Lawful Bases Under UK GDPR

We only use personal information where a lawful basis applies. The basis depends on what the information is being used for.

  • Contract: where processing is necessary to take steps at your request before entering into a contract, prepare a quotation, arrange work or perform an agreed scaffolding service.
  • Legal obligation: where information must be processed to meet tax, accounting, regulatory, health and safety, court or other legal requirements.
  • Legitimate interests: where reasonably necessary to operate the business, respond to enquiries, manage projects, maintain records, secure the website, prevent fraud or misuse, recover debts, handle complaints or establish, exercise or defend legal claims, provided those interests are not overridden by your rights.
  • Consent: where the law requires consent, including certain cookies, analytics, advertising or marketing activities. You may withdraw consent at any time, although this does not affect processing that took place before withdrawal.
  • Vital interests: only in rare circumstances where processing is necessary to protect someone's life.

Your right to object

Where we rely on legitimate interests, you have the right to object to the processing in certain circumstances. You always have the right to object to direct marketing.

7. Jotform Enquiry Forms and File Uploads

The website uses Jotform to provide the online scaffolding enquiry and quotation form. When you submit the form, the information you enter is transmitted through Jotform's systems and then made available to us so that we can respond to your enquiry.

Information submitted through Jotform may include your name, company name, telephone number, email address, postcode, selected service, enquiry details and any drawings or images you choose to upload.

Jotform may also process technical information associated with use of its form, such as IP address, browser/device information, session information and security or fraud-prevention data. Jotform's own privacy notice explains how it handles information relating to its platform.

Jotform is a global service provider. Depending on account configuration and the services used, information may be processed or stored outside the UK. Jotform publishes a Data Processing Addendum and information about its UK GDPR and international-transfer safeguards.

You can read Jotform's current privacy information at Jotform Privacy Policy .

Please do not upload unnecessary confidential information. Photographs and drawings should contain only what is reasonably needed for us to understand the scaffolding requirement. Avoid sending identity documents, bank login information, passwords or unrelated personal information.

8. Google Analytics 4 and Website Measurement

The website may use Google Analytics 4 (GA4) to understand how visitors find and use the site. Where GA4 is enabled, Google may process information such as page views, session statistics, browser and device information, approximate geographic information, referral information and website interactions.

GA4 commonly uses first-party cookies such as _ga and _ga_<container-id> to distinguish users and maintain session information where analytics storage is permitted. Google states that, for users in the UK, EU and Switzerland, individual IP addresses collected by Google Analytics are not logged or stored; IP information may be used transiently to derive coarse geographic information before being discarded.

Analytics information is used to understand website performance, popular pages, user journeys and technical issues, and to improve content and usability. We do not intentionally use analytics data to make decisions that produce legal or similarly significant effects about individuals.

Where analytics cookies or identifiers require consent under PECR, they should only be used in accordance with the consent choice presented on the website. Current UK rules also contain a narrow statistical-purpose exception for certain aggregate analytics used solely to improve a service, but only where the legal conditions are met and users are given clear information and a simple, free means to object.

Google's privacy information is available at Google Privacy Policy .

9. Google Maps and External Content

The contact section includes an embedded Google Map showing the Chester-le-Street location. When the map loads, your browser connects directly to Google. Google may receive information such as your IP address, device/browser information, the page containing the map and information about how you interact with the map.

Depending on your Google account, browser settings and Google's configuration, Google may use cookies, local storage or other technologies. Your use of the embedded map is also subject to Google's own privacy terms.

External links on the website may take you to third-party websites. We are not responsible for the privacy practices of websites that we do not control.

10. Website Hosting, Security and Technical Logs

The website is hosted using third-party infrastructure. Hosting and technical providers may process limited technical information such as IP addresses, timestamps, requested files, browser information, error logs and security events.

This information may be needed to deliver the website, identify faults, maintain backups, monitor availability, block malicious traffic and investigate security incidents. The website also uses third-party content-delivery services for items such as fonts, icons or scripts; these providers may receive basic network information when your browser requests those resources.

11. Who We May Share Personal Information With

We do not sell personal information. We may share relevant information with:

  • Jotform and other website/form providers;
  • Google and other providers used for maps, analytics or website functionality;
  • website hosting, email, cloud storage, backup and IT-support providers;
  • accountants, bookkeepers, payment providers and tax advisers;
  • insurers, brokers, loss adjusters, solicitors and other professional advisers;
  • scaffolding designers, engineers, suppliers, subcontractors or specialist contractors where needed for the project;
  • builders, roofers, principal contractors, facilities managers, landlords, tenants, property managers or authorised project contacts where coordination is required;
  • local authorities, regulators, courts, law-enforcement bodies or other public authorities where disclosure is required or permitted by law.

Where another organisation processes information on our behalf, we expect appropriate contractual, confidentiality and security protections to be in place.

12. International Transfers

Some technology providers used by the website operate internationally. This means personal information may be processed in countries outside the United Kingdom.

Where a restricted transfer is made under UK GDPR, it must be covered by a lawful transfer mechanism. Depending on the provider and circumstances, this may include UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, the UK International Data Transfer Agreement, the UK Addendum to approved Standard Contractual Clauses, or another lawful safeguard.

Jotform states that it participates in the UK Extension to the EU-US Data Privacy Framework and also provides contractual safeguards in its Data Processing Addendum. Google publishes information about its international data-processing and transfer arrangements in its privacy and contractual documentation.

You may contact us if you want further information about the safeguards relevant to a particular provider.

13. How Long We Keep Personal Information

We keep information only for as long as reasonably necessary for the purpose for which it was collected, taking account of contractual, insurance, accounting, safety and legal requirements.

Record Typical approach
General enquiries that do not become projects Normally up to 24 months, unless a longer period is reasonably needed for follow-up, a complaint or legal reason.
Quotes that are not accepted Normally up to 24 months, subject to legitimate business and legal requirements.
Customer, contract and project records Typically retained for up to six years after completion or the end of the relevant transaction, and longer where a legal, insurance or safety reason applies.
Invoices and accounting records Retained for the period required by tax and accounting law, commonly around six years.
Photographs, drawings and site records Kept while needed for quotation, project delivery, warranty, insurance, complaint or legal-record purposes and deleted when no longer required.
Website/security logs Kept for a limited period according to operational and security needs and provider configuration.
Analytics data, where enabled Retention depends on analytics configuration and is reviewed so that identifiable or user-level data is not kept longer than necessary.
Cookie preference Generally retained until the preference cookie expires, is replaced or you clear browser data.

These periods are general guidelines rather than absolute promises. A record may be deleted sooner if no longer needed or kept longer where required by law, insurance, fraud prevention, a dispute or legal claim.

14. How We Protect Personal Information

We use reasonable technical and organisational measures appropriate to the nature and size of the business. Measures may include access controls, password protection, software updates, secure service providers, restricted access to customer/project records, backups and staff or contractor confidentiality requirements.

No website, email system or cloud service can be guaranteed completely secure. Please take care when sending files and do not send information that is not needed for the scaffolding enquiry.

If we become aware of a personal-data breach, we will assess the risk and take appropriate action, including notification to the Information Commissioner's Office or affected individuals where the law requires it.

15. Marketing and Communications

Submitting a scaffolding enquiry does not automatically enrol you into general marketing. We may contact you about your enquiry, quotation, appointment, project, invoice or closely related service matter because that communication is necessary to deal with the request or business relationship.

If we introduce email, SMS or other direct marketing, we will apply UK GDPR and PECR requirements and provide an appropriate way to opt out. You may object to direct marketing at any time.

16. Your Data Protection Rights

Depending on the circumstances and the lawful basis being used, you may have the right to:

  • be informed about how your personal information is used;
  • request access to the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase information in certain circumstances;
  • ask us to restrict processing in certain circumstances;
  • object to processing based on legitimate interests;
  • object at any time to direct marketing;
  • receive certain information you provided in a structured, commonly used and machine-readable format where data portability applies;
  • withdraw consent at any time where processing relies on consent;
  • challenge certain decisions made solely by automated means where the law provides that right;
  • complain to the Information Commissioner's Office.

These rights are not absolute and exemptions may apply. We may need to verify your identity before responding. We will normally respond without undue delay and within one month, although UK data-protection law permits extensions in certain circumstances.

17. Automated Decision-Making and Profiling

We do not use the website enquiry process to make decisions about people solely by automated means that produce legal or similarly significant effects. Quotations, project decisions and scaffold requirements are considered using the information available about the job and site.

If this changes, this Privacy Policy will be updated and any additional rights or information required by law will be provided.

18. Children's Information

This website and scaffolding service are intended for adults arranging property, construction or maintenance work. We do not knowingly seek personal information directly from children. A parent, guardian, property owner or responsible adult should make any enquiry concerning a property occupied by children.

19. Questions and Complaints

Please contact us first if you have a question or concern about how personal information has been handled so that we have an opportunity to investigate.

You also have the right to complain to the Information Commissioner's Office (ICO) , the UK's data-protection regulator.

Material changes may also be highlighted on the website or brought to your attention in another appropriate way.
